What is a virtual meeting/online symposium?
Virtual meetings use technology to allow groups to exchange content through an Internet connection. This virtual meeting platform maintains an audio and a video component, and it is not simply a voice connection.
Virtual meetings are fairly easy to conduct. All that is needed for participants at the basic level is:
- A quiet and private space to attend from
- A stable internet connection
- Audio (through computer speakers and microphone, or telephone)
- Webcam (not mandatory, however, we would prefer that you joined in via video)
Will my registration fees be refunded?
Your registration fee can be either refunded to you (minus the bank charges) or contributed to the GASi symposium to support other delegates during this difficult situation. If your registration fees were already paid for the face to face meeting, then you should have received a form to be filled out whether to confirm your attendance, otherwise please contact the technical secretariat email@example.com
Will the social events fees be refunded?
Yes, all the social events have been cancelled automatically, and will be refunded after the symposium to you. The social events include: the symposium party.
When can I expect to receive my refund?
Please bear with us as the refund process might take some time, and due to the Covid-19 situation, it will be processed after the event. You will receive an email including a receipt of the refund once we have processed it.
How will I receive my refund?
Shortly you will be contacted with further details about the refund process and the necessary information we need to proceed, but in general, if you have paid by credit card, the refund will be sent back directly on the same credit card account (minus 35€ bank fees). If you have paid by bank transfer, you will be requested to submit your bank details.
Do I need to send you my bank account details?
We are arranging the refund process and information collection. Shortly you will be contacted for this purpose.
I didn't get a confirmation email of my refund. Did it go through?
Please note that the refund process will be after the symposium, but once done you should automatically receive an email including your refund receipt, as soon as the refund is processed.
Will the online event be free?
No, the online event fees will be at levels that reflect the full cost of staging the event.
Although many of the costs of an in-person conference have gone away (e.g., venue rental, audio-visual equipment rental and setup, and catering), the abstract and registration system, as well as the staff time needed to organize all the details of the meeting still have to be paid. We also have some new costs, mainly the software licenses for the technology solutions and the necessary technical support.
If I am registered for the GASi Symposium Barcelona 2020, do I also need to register for the virtual meeting?
Yes, all registered participants should have received a communication asking to reconfirm participation in the virtual symposium. If you have not received this, please contact the technical secretariat firstname.lastname@example.org
I have not yet registered but I am interested in participating in the online event. What should I do?
Please register using the online registration portal that you can find on the registration tab of this website.
How many days will the virtual meeting last?
The dates of the virtual meeting are from September 4th to September 6th. The virtual meeting will last 3 days.
Will I have to resubmit my abstract?
No, you do not need to re-submit. All authors should have received a communication in order to inform the scientific committee if they would like to have their abstract considered for inclusion in the new programme.

Once we have received all this information all abstracts will be reviewed, and the outcome will be communicated to you by the chairs of the Scientific Programme Committee.
Will sessions be pre-recorded or live?
None of the presentations will be pre-recorded. Additionally, live interaction with the presenter will be part of the experience.
I am not comfortable with a virtual presentation; can I retract my abstract?
Yes, you can withdraw your abstract. All authors should have received a communication in order to confirm if their abstract should be considered for the virtual event. Please contact the technical secretariat firstname.lastname@example.org if you have not received this communication.
What days/times are the sessions?
The dates for the virtual meeting are from: September 4th to September 6th, 2020. The time zone will be the Central European Summer Time (UTC+2) but note that on the website the scientific programme page, the times for each session are automatically adapted to your time zone so you can better plan your agenda.
Will the sessions be recorded for post-conference viewing?
Yes, for registered participants the presentations (platform and posters) will be made available after the meeting for a limited period of time, which is yet to be determined. None of the experiential group sessions will be recorded.
Will attendees be able to ask questions or participate in the session, or it will just be streamed presentations?
The sessions will be interactive. We are aiming to make options available that include attendee interaction options like chat, Q&A and live polling. Chat can also be used by the audience during presentations.
Will we have access to e-poster viewing?
Yes, ePoster sessions and ePoster Online Gallery will be available for registered participants, during and after the meeting (for a limited period).
